Knutson Travels
Operated by The Knutson Company, LLC

Effective Date: October 13, 2026
Last Updated: October 13, 2026

These Terms & Conditions govern your use of the Knutson Travels website and your booking and participation in tours operated or arranged by The Knutson Company, LLC, doing business as Knutson Travels (“Knutson Travels,” “we,” “us,” or “our”).

By accessing our website, submitting a booking, or participating in a tour, you agree to the terms applicable to your activity. Your acceptance of a tour booking is subject to these Terms & Conditions and any additional tour-specific booking terms disclosed to you.

Please read these terms carefully before making a reservation or payment.

1. About Knutson Travels

Knutson Travels offers small-group cultural travel experiences designed to introduce travelers to local traditions, festivals, food, history, and communities. Our tours may include accommodations, transportation, guided activities, meals, excursions, and other services as described in the applicable itinerary.

Tours may take place in international destinations, including India, China, Japan, Thailand, Singapore, Malaysia, and other countries.

The specific services included in each tour are determined by its published itinerary, inclusions, exclusions, and booking confirmation.

These Terms & Conditions apply unless a written, tour-specific agreement expressly modifies a provision. Mandatory rights under applicable law remain unaffected.

2. Eligibility and Booking

The person making a reservation (“Lead Traveler”) must be legally capable of entering into a binding agreement and must provide accurate information for all travelers included in the booking.

When booking on behalf of other travelers, the Lead Traveler represents that they are authorized to provide their information and accept applicable booking terms on their behalf.

Each traveler is responsible for reviewing the itinerary, understanding the physical requirements and conditions of the tour, and ensuring that the trip meets their needs.

A booking is considered confirmed only after Knutson Travels accepts the reservation and issues written confirmation. Submission of a booking request or payment does not, by itself, guarantee availability or confirmation.

We reserve the right to decline a booking where permitted by law, including where the tour is sold out, payment cannot be verified, or participation requirements cannot reasonably be met.

3. Prices, Inclusions, and Exclusions

All prices are stated in U.S. dollars unless expressly indicated otherwise.

The price of each tour, applicable taxes and fees, payment schedule, included services, and excluded expenses will be stated in the applicable tour description or booking confirmation.

Unless specifically included in writing, the tour price does not cover:

  • International airfare or other transportation to the tour’s starting point.
  • Passport, visa, or entry-permit fees.
  • Travel insurance.
  • Personal expenses, including shopping, laundry, and minibar charges.
  • Meals, drinks, excursions, or activities not listed as included.
  • Tips and gratuities not expressly included.
  • Optional activities and services.
  • Expenses resulting from missed departures, personal travel changes, illness, or failure to meet travel requirements.

Any additional charges will be disclosed before the traveler becomes obligated to pay them, except for additional expenses incurred independently by the traveler or otherwise permitted by applicable law.

Travelers are responsible for reviewing the inclusions and exclusions before booking.

4. Deposits and Payment

A deposit of $500 per traveler or 20% of the total tour price, as specified for the applicable tour, is required to secure a reservation.

The applicable booking page or written quotation will identify the required deposit and payment deadlines.

The remaining balance is generally due 60 days before the scheduled departure date, unless a different deadline is stated in writing for the tour.

For bookings made within 60 days of departure, full payment may be required at the time of booking.

If payment is not received by the applicable deadline, Knutson Travels may provide written notice and a reasonable opportunity to cure the missed payment before canceling the reservation, subject to the booking terms and applicable law. Cancellation charges may apply where lawfully disclosed.

Travelers are responsible for any bank charges, foreign transaction fees, or other payment-processing costs disclosed before payment.

If a payment is declined or reversed, the traveler must promptly arrange an alternative payment method. A payment dispute or chargeback does not automatically eliminate amounts lawfully owed under the booking agreement.

5. Traveler Cancellations and Refunds

A traveler who wishes to cancel must notify Knutson Travels in writing using the contact information provided on our website. The cancellation date will generally be the date we receive the written notice.

Cancellation charges reflect the timing of cancellation and the costs and commitments associated with arranging the tour.

The applicable tour booking page and confirmation must identify the cancellation schedule that applies to the reservation. The following is the proposed standard schedule, subject to final approval and consistency with the deposit provisions below.

Notice received before departure Proposed refund of total tour price
60 days or more Payments received, less any properly disclosed nonrefundable amounts and applicable cancellation charges
45–59 days 50% of the total tour price
20–44 days 25% of the total tour price
19 days or fewer No refund, except where required by law or expressly provided in writing

Refund calculations will account for amounts already paid. A refund will not exceed the amount paid by the traveler.

Deposit refund window

The standard booking policy provides a 30-day period following deposit payment during which the deposit may be refundable, subject to the applicable booking terms and cancellation schedule.

After that period, the deposit may become nonrefundable to the extent disclosed in the booking agreement and permitted by law.

For bookings made 60–90 days before departure, the existing policy provides that the deposit becomes nonrefundable on the final payment due date. The applicable booking confirmation must clarify how this rule interacts with the 30-day refund window and the cancellation schedule.

Before this policy is published, Knutson Travels must confirm which rule controls when the deposit-refund window and cancellation schedule overlap. The customer-facing booking terms must state one consistent rule.

Additional cancellation conditions
  • Refunds will be calculated under the cancellation terms accepted when the booking was confirmed, subject to mandatory legal requirements.
  • No-show travelers and travelers who leave a tour voluntarily after it begins are generally not entitled to refunds for unused services, except where required by law or agreed in writing.
  • Unused hotel nights, meals, transfers, excursions, or other services are not refundable merely because a traveler chooses not to use them.
  • If a traveler cancels because of illness, a denied visa, a passport issue, a missed flight, or another personal circumstance, the standard cancellation policy applies unless an exception is expressly agreed or required by law.
  • If a traveler requests a name change, substitution, or transfer to another departure, approval is subject to availability, supplier requirements, administrative costs, and applicable law.

We recommend that travelers review the insurance provisions below before booking.

6. Cancellation by Knutson Travels

Knutson Travels makes reasonable efforts to operate tours as advertised. However, a tour may need to be canceled because of insufficient participation, supplier failure, safety concerns, government restrictions, or other circumstances affecting the ability to operate it.

If Knutson Travels cancels a tour before departure and does not offer a replacement departure that the traveler accepts, we will refund payments received for the canceled tour, subject to applicable law and the terms of the booking agreement.

We may offer the option to transfer the booking to another departure or accept a credit where appropriate. A credit or transfer will be voluntary unless otherwise permitted by applicable law.

If a tour is canceled, we will communicate the cancellation and available remedies as promptly as reasonably practicable.

Unless expressly stated in the booking agreement or required by law, Knutson Travels is not responsible for separate expenses purchased independently by travelers, such as nonrefundable airfare, additional hotel nights, or unrelated travel arrangements. Travelers should consider insurance that covers such expenses.

7. Itinerary Changes and Substitutions

Our tours are designed around cultural experiences, festivals, local events, and the availability of accommodations and services. Circumstances may occasionally require itinerary adjustments.

Changes may result from weather, transportation schedules, festival programming, supplier availability, government requirements, safety concerns, or other circumstances beyond our reasonable control.

Where a change is necessary, Knutson Travels will make reasonable efforts to provide an alternative of comparable character or value, taking account of availability and the circumstances.

We will communicate material changes as soon as reasonably practicable and explain any applicable options or remedies.

We will not rely on this provision to avoid obligations imposed by applicable law. If a change substantially affects the tour, travelers will receive any remedies required by the booking agreement or applicable law.

Minor changes to the sequence of activities, local guides, restaurant selections, transportation arrangements, or similar operational details do not necessarily constitute a material change if the overall nature and value of the tour remain substantially comparable.

8. Minimum Participation and Group Size

Certain tours may require a minimum number of participants to operate as planned. Any minimum participation requirement and relevant cancellation deadline should be stated in the tour description or booking confirmation.

If the minimum is not met, Knutson Travels may cancel the departure or offer an alternative arrangement.

If we cancel for this reason, travelers will receive the remedies described in Section 6 and applicable law.

Travelers are not guaranteed a particular group size unless the booking materials expressly provide otherwise.

9. Third-Party Suppliers

Tours may include services provided by independent suppliers, including airlines, hotels, cruise operators, rail companies, local transportation providers, restaurants, guides, activity operators, and other travel businesses.

Those suppliers may have their own terms, safety procedures, schedules, cancellation policies, and conditions of service.

Knutson Travels does not own or control every third-party supplier. To the extent permitted by law, we are not responsible for an independent supplier’s acts or omissions where we did not cause the relevant loss and are not otherwise legally responsible.

Nothing in these terms excludes any responsibility that applicable law imposes on Knutson Travels for services it sells, undertakes to provide, or is otherwise legally responsible for.

We will make reasonable efforts to assist travelers in communicating with suppliers when a service issue arises, but we cannot guarantee a supplier’s response or outcome.

10. Traveler Responsibilities

Travelers agree to:

  • Provide accurate booking, identification, and travel information.
  • Maintain valid travel documents and meet entry requirements.
  • Follow reasonable instructions from tour leaders, guides, and service providers.
  • Respect local laws, customs, cultural practices, and community expectations.
  • Behave respectfully toward other travelers, staff, and local residents.
  • Arrive at designated meeting points on time.
  • Follow applicable safety requirements and activity instructions.
  • Pay personal expenses and other amounts properly due under the booking agreement.
  • Avoid behavior that creates a serious safety risk, substantially disrupts the group, or unlawfully harms another person.

A traveler may be held responsible for loss or damage caused by their negligent, reckless, or intentional conduct, to the extent permitted by law.

If a traveler materially breaches these responsibilities, Knutson Travels may take reasonable and proportionate steps to address the situation, including issuing a warning, modifying participation in a specific activity for safety reasons, or ending the traveler’s participation where necessary and lawful.

We will consider the circumstances, the seriousness of the conduct, the safety of the group, and reasonable alternatives before taking significant action. Any refund or additional costs will be determined under the booking agreement and applicable law.

11. Health, Fitness, Accessibility, and Accommodations

Cultural tours may involve walking, stairs, uneven surfaces, crowds, heat, humidity, long travel days, and other physical demands. The specific requirements vary by destination and itinerary.

Knutson Travels will make reasonable efforts to describe material physical demands and known accessibility limitations before booking.

Travelers should review the itinerary and contact us before booking if they have questions about whether the activities, accommodations, or transportation arrangements meet their needs.

Travelers may request reasonable accommodations. We will consider requests individually and in accordance with applicable law, taking account of the itinerary, available services, safety requirements, and practical limitations.

A disability or medical condition alone will not be treated as sufficient grounds to deny participation or remove a traveler.

Where a particular activity presents a genuine safety concern, we will assess the specific circumstances and consider reasonable alternatives or accommodations before making a decision, subject to applicable law.

Travelers are responsible for determining whether they are fit to participate in the planned activities and for seeking appropriate medical advice where necessary. We do not provide medical advice or guarantee that medical services will be readily available at every destination.

If a traveler requires assistance, medication, equipment, or support from a companion, those arrangements should be discussed with us before booking.

12. Passports, Visas, and Entry Requirements

Travelers are responsible for obtaining and maintaining valid passports, visas, entry permits, and other documents required for their journey.

Passport validity requirements, visa rules, vaccination requirements, customs rules, and entry conditions vary by destination and nationality and may change without notice.

Knutson Travels may provide general travel information, but travelers must verify the requirements applicable to their own circumstances with the relevant government authorities and consular services.

We do not guarantee that a visa or entry permit will be approved or that a traveler will be admitted into a country.

If a traveler is denied boarding or entry because of missing or invalid documents, an immigration decision, or another personal eligibility issue, the traveler is responsible for resulting expenses, subject to applicable law and any supplier refund rights.

13. Travel Insurance

Travel insurance is required unless the applicable tour booking terms expressly state otherwise.

Travelers should obtain suitable coverage as soon as reasonably practicable after booking.

Coverage should be appropriate for the destination, itinerary, and individual traveler and should be considered for:

  • Trip cancellation and interruption.
  • Emergency medical expenses.
  • Medical evacuation and repatriation.
  • Travel delays and missed connections.
  • Lost, stolen, or damaged baggage.
  • Other material travel risks.

Travelers are responsible for reviewing policy limits, exclusions, pre-existing-condition provisions, eligibility rules, and claim deadlines.

Knutson Travels is not an insurance company and does not guarantee coverage, reimbursement, or the acceptance of a claim by an insurer.

Any required proof of insurance and submission deadline will be stated in the booking confirmation. If proof is required 60 days before departure, the confirmation will identify that deadline and explain the consequences of failing to provide the required documentation, subject to applicable law.

Travelers should contact their insurer directly regarding coverage questions and claims.

14. Assumption of Ordinary Travel Risks

International travel may involve risks, including traffic conditions, weather events, illness, food-related illness, theft, political unrest, transportation disruptions, cultural differences, and changes to local services.

By choosing to participate in a tour, travelers acknowledge that ordinary travel risks exist and agree to exercise reasonable care for their own safety and belongings.

Travelers should follow local safety guidance and instructions from qualified guides and service providers.

Nothing in this section releases Knutson Travels or any other person from liability that cannot lawfully be excluded, including liability arising from negligence or other conduct where such liability cannot be waived under applicable law.

15. Force Majeure and Extraordinary Events

A force majeure event means an extraordinary circumstance beyond the reasonable control of the affected party that prevents or materially impairs performance of a relevant obligation. Examples may include natural disasters, severe weather, war, terrorism, civil unrest, epidemics or pandemics, government restrictions, border closures, and significant transportation disruptions.

Where such an event affects a tour, Knutson Travels will make reasonable efforts to assess the situation, communicate with travelers, consider available alternatives, and mitigate avoidable losses.

Depending on the circumstances, a tour or individual services may need to be delayed, modified, suspended, or canceled.

Refunds, credits, substitutions, and other remedies will be determined under the applicable booking agreement, supplier recovery arrangements, and governing law. We will not automatically retain all payments merely because a force majeure event has occurred.

Travelers remain responsible for reviewing their insurance coverage for relevant events.

16. Limitation of Liability

To the fullest extent permitted by applicable law, Knutson Travels will not be responsible for indirect, incidental, special, punitive, or consequential damages that are not legally recoverable, subject to any statutory exceptions.

Where legally permitted and appropriate to the particular claim, our aggregate liability may be limited to the amount paid to Knutson Travels for the affected tour or service.

Any limitation of liability is subject to applicable law and does not apply where its application would be unlawful. Nothing in these terms excludes or limits liability for fraud, willful misconduct, or any other liability that cannot lawfully be excluded or limited.

This section does not automatically eliminate rights or remedies that a traveler may have under consumer-protection legislation or other mandatory law.

The fact that a traveler has paid the final balance does not constitute a waiver of claims arising from subsequent events or conduct.

17. Indemnification

To the extent permitted by law, a traveler may be responsible for third-party claims, losses, or expenses directly resulting from that traveler’s unlawful conduct, negligence, intentional misconduct, or material breach of the booking agreement.

This provision does not require a traveler to indemnify Knutson Travels for losses caused by Knutson Travels’ own negligence, unlawful conduct, or other responsibility where such an obligation would be prohibited by applicable law.

18. Complaints and Dispute Resolution

Travelers should notify the tour leader or Knutson Travels as soon as reasonably practicable if a problem occurs during a tour. Prompt notification gives us an opportunity to investigate and, where feasible, address the issue.

If the issue cannot be resolved during the trip, travelers may submit a written complaint using the contact information published on our website. Please include the booking reference, relevant dates, details of the issue, and the resolution requested.

We will review complaints in good faith and respond within a reasonable time.

Nothing in this section prevents a traveler from contacting a relevant regulatory authority, pursuing a lawful claim, or exercising a consumer right that cannot be waived.

19. Governing Law and Venue

These Terms & Conditions are governed by the laws of the State of Florida, without regard to conflict-of-law principles, except where another law must apply.

Subject to mandatory consumer-protection laws and any applicable jurisdictional restrictions, disputes may be brought in a court of competent jurisdiction in the appropriate Florida venue.

Nothing in this section requires a consumer to bring a claim in a location or court where such a requirement is prohibited by applicable law.

Any applicable time limit for bringing a claim will be determined in accordance with governing law. These terms do not impose a shortened limitation period unless that provision has been separately reviewed and is enforceable.

20. Website Use and Intellectual Property

Unless otherwise indicated, website text, original photography, graphics, logos, itineraries, branding, and other original materials published by Knutson Travels are owned by or licensed to the company.

You may access and use the website for personal, lawful purposes. You may not reproduce, distribute, commercially exploit, or modify protected materials without prior permission, except where permitted by law.

You agree not to use the website for unlawful purposes, interfere with its operation, attempt unauthorized access, introduce malicious code, or submit information that is knowingly false or misleading.

We may update website content, correct errors, modify features, or discontinue content where reasonably necessary.

21. Customer Reviews, Photographs, and Marketing

Travelers may choose to submit reviews, testimonials, photographs, videos, or other content to Knutson Travels.

By submitting content, you represent that you have the rights and permissions necessary to submit it and that it does not unlawfully infringe another person’s rights.

Any permission to display a review or use submitted content will be limited to the scope of the permission provided and applicable law.

We may request separate written permission to use identifiable photographs, videos, names, or testimonials in advertising and other promotional materials. Submitting a booking or paying for a tour does not, by itself, constitute consent to appear in marketing materials.

We will not knowingly present a review in a materially misleading manner or represent that an experience or endorsement is genuine if it is not.

22. Privacy and Personal Information

Knutson Travels collects and processes personal information as described in its separate Privacy Policy.

Information may be needed to process reservations, arrange accommodations and transportation, communicate with travelers, manage payments, provide tour services, and comply with legal obligations.

Certain bookings may require sensitive travel information, including passport details. Such information should be collected, accessed, retained, and shared only as reasonably necessary and in accordance with applicable privacy requirements.

Where third-party suppliers require traveler information to deliver a service, relevant information may be shared for that purpose.

Please review our Privacy Policy for details about data collection, use, disclosure, retention, security, and applicable privacy rights.

23. Affiliate Links and Third-Party Websites

Our website may contain links to third-party websites, travel suppliers, booking platforms, or affiliate partners.

We may receive compensation or a commission when a traveler uses certain links or makes a qualifying purchase. Where required, we will disclose material relationships clearly and conspicuously.

Third-party websites are governed by their own terms and privacy policies. Knutson Travels does not control every external website and is not responsible for its content or practices, except where applicable law provides otherwise.

A link or commercial relationship does not, by itself, constitute a guarantee or endorsement of every product or service offered by a third party.

24. Changes to These Terms

We may update these Terms & Conditions from time to time to reflect changes in our services, business practices, or legal requirements.

The current version will be published on our website with its effective or last-updated date.

Changes will generally apply to website use from the effective date of publication. For an existing confirmed tour booking, material changes to contractual terms will apply only as permitted by the original booking agreement and applicable law.

Where appropriate, we will notify affected travelers of material changes.

25. Severability and No Waiver

If a provision of these Terms & Conditions is found to be invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.

A failure or delay in exercising a right under these terms does not constitute a waiver of that right.

Any waiver must be consistent with applicable law and the circumstances in which it is given.

26. Entire Agreement and Booking-Specific Terms

These Terms & Conditions, together with the applicable tour description, accepted booking confirmation, payment terms, and any written amendments, form the agreement governing the relevant booking.

If a tour-specific written term conflicts with a general provision in these Terms & Conditions, the tour-specific term will control only to the extent that the conflict is expressly identified or the term clearly modifies the general provision.

No provision is intended to remove a right or protection that cannot legally be excluded.
